Getting started
What do I need to sign in?
Three things: your practice code, your email address, and your password — or a passkey (your face or fingerprint) once you have added one under Profile → Sign in. If you have none of these yet, whoever runs your practice invites you from Manage → Staff.
I forgot my password.
Ask your practice owner or manager to reset it from Manage → Staff. You will sign in with the temporary one and choose your own. There is deliberately no public reset-by-email — a clinical system does not hand out doors that way.
Phone, tablet or computer?
All three — it is the same address in any browser, and every screen is built to work on an iPad held either way, which is how most treatment rooms use it.
The diary & front desk
How do I book an appointment?
Open the Diary, click the half-hour you want in the practitioner's column, choose the patient and the service, and it is booked. Double-booking is refused by the system itself, not just hidden.
How do I move an appointment?
Drag it — to another time, another day, or another practitioner's column. On a phone, open it and choose the new time instead.
What is a memo?
A note written on the diary itself — the fire drill at eleven, a room out of use. Right-click a column to write one; drag it to another day or person. It is not a clinical note and never becomes one. More in The front desk.
Why won't a time slot take a booking?
The site is closed then, or the appointment does not fit inside opening hours. People with the right permission can still book outside hours deliberately — see who.
Notes & letters
Can I edit a note after saving it?
A draft — yes, any time, until you sign it. A signed note never changes; you add an amendment instead, which is what makes the record defensible years later. Why, in Rules that never bend.
How do letters get onto our letterhead?
Upload the practice's letterhead once under Manage → Letters, set where the writing may go, and every letter is written directly on it — margins, fonts and all. Printing is borderless, and each printed page carries a document ID saying who printed it and when.
Can I delete a letter or a note?
A draft nobody has seen — yes. Anything finalised or signed leaves the screen only by being archived: it may already be in a GP's inbox, and clinical records are kept by law. The full rule.
Money
I made a mistake on an invoice — can I change it?
While it is a draft, freely. Once issued and anything depends on it — a payment, a claim — the total never moves: you issue a credit note and a replacement, which keeps the ledger honest to the person you originally billed. The correction workflow.
What do SMS messages cost?
Message credit is prepaid — 10¢ a message in Australia — and Manage → Email & SMS → Credit shows what is left, what last week used, and the packs to buy more.
Where do card details live?
Never with us. Card numbers are not stored in Clinifyd at all — that rule has no exceptions.
Running the practice
How do I control what a staff member can see?
Manage → Permissions: six roles across fifty-odd switches, every one enforced by the server. Clinical records can never be granted to the front desk or accounts — those switches are locked on purpose. The full matrix.
How do patients fill in intake forms?
Send the form from the patient's file — it goes by text, they fill it in on their phone section by section, and the finished answers land back in their file with a notification for review. Step by step in Workflows.
Can I delete a patient?
Only a record with nothing attached — the duplicate made two minutes ago. Anything with history is archived or merged instead, and deleting asks you to type a fresh code word every time, so it can never happen from habit.
When something goes wrong
The screen shows an error with a code — what do I do?
That code is a reference we can look up on our side — every error is recorded with it. Note what you were doing, send us the code from the contact page, and we can see exactly what happened. More first steps.
